The problem

The fair is the easy bit. Everything around it is the slog.

Stall applications buried in your inbox. Deposits chased over bank transfer. A spreadsheet you've rebuilt three times. Door tickets on a paper roll. The morning of the fair, three traders haven't shown and you're matching names against a printout in the rain. Popup Pal pulls all of it into one quiet dashboard, so you can focus on the day.

What you get

Built for craft fair organisers.

Every feature you need to run the event, sell the tickets, and bring the same crowd back.

Build the floor plan in-app

Drag stalls onto a live canvas. Start from a craft-fair template — village hall, marquee, ballroom — and tweak it for your venue. Multi-zone for fairs spanning indoors plus an outdoor courtyard.

Stall applications without the inbox

Traders apply through one form. You see every application side-by-side, approve or decline in a tap, and the trader hears back straight away.

Deposits taken on the spot

Once you approve a trader, they pay the stall fee or deposit by card. No invoices, no bank transfer chasing, no awkward second emails.

Regulars rebook in one tap

Your repeat traders see your next fair in their app and confirm their usual pitch in one tap. New traders fill out the full form. Old hands don't.

A directory shoppers actually use

Every trader gets a listing with photos, what they make, and their socials. Shoppers browse it before they arrive and turn up knowing who they want to find.

Scan tickets at the door

If you charge entry, scan tickets from your phone at the gate. Free entry works too. Either way you finish the day with a real list of who came.

Bring the same crowd back

When your next fair goes live, past shoppers get a polite nudge in the app and traders who did well get first refusal on their pitch.

Why organisers choose Popup Pal

Run more fairs with less of the admin.

Built for organisers who would rather be on the floor than in their inbox the night before.

Free to list, fair on fees

List the fair for nothing and only pay a small fee on tickets sold. Stall fees and deposits go straight to your bank.

Categories that balance the room

Ceramics, jewellery, food, prints — set caps per category so you never end up with eight candle stalls and one painter.

Repeat traders rebook themselves

Your regulars confirm their pitch in a tap, so the application form only sees the new faces.

British-built, organiser-supported

GBP payouts, UK-supported. We answer emails from a small team that has actually run a fair.

FAQs

Common questions

How does the trader sign-up flow work?

You share one link. Traders fill in a short form, pick a stall type, and submit. You see every application in one list, approve the ones you want, and Popup Pal tells the trader and takes payment.

Can I take a deposit instead of the full stall fee?

Yes. Set a deposit amount when you approve the trader, with the balance due closer to the fair. It's all by card, so you're not chasing bank transfers.

What happens with no-shows on the day?

Their deposit is already in. You can mark the stall as a no-show, keep the fee, and offer the pitch to anyone on the waiting list. The trader's record stays on file, so you can see at a glance who's reliable next time.

Can my regular traders rebook in one tap?

Yes. Once a trader has done a fair with you, they can confirm a future date from their app without filling the form again. Their pitch preference and details carry over.

Do shoppers have to buy tickets in advance?

Only if you want them to. You can run a free-entry fair, a paid-entry fair with door sales, or a paid-entry fair with online tickets. Whichever you pick, scanning at the gate works the same way.

Is there a cost to list the fair?

No. Listing is free. You can see the full pricing on our pricing page.
